Canceling, downgrading, and refunds

How to cancel Starter / Pro subscriptions, what happens to your galleries, refund policies, and how to reactivate later.

Canceling is straightforward. No email us. No "please speak with an agent" dark pattern. One click in /billing.

How to cancel

  1. Go to /billing
  2. Click Cancel subscription
  3. Confirm the prompt

That's it. Your subscription is canceled. Here's what happens:

  • You keep all Pro (or Starter) features until the end of the current billing period
  • At the end of the period, your plan steps down to Free
  • You don't get charged again
  • Your Pro-tier features (unlimited events, live streaming, white-label, etc) turn off at the same moment

What happens to your galleries

Pro โ†’ Free Galleries stay viewable for 12 months from the event date. After that, archived.
Starter โ†’ Free Same, 12 months from event date.
Free (never paid) 90 days from event date.
Founding Never canceled (it's a one-time purchase). Your galleries stay as long as Capture Club operates.

Archived means: guest URL returns "this gallery is no longer active" but you as the owner can still restore from the admin backup process, contact support within 30 days of archival and we can restore.

After 30 days of archive, files are permanently purged from storage.

Reactivating

Just go back to /pricing or /billing and pick your plan again. Your galleries come back instantly (if still within retention window). Custom URLs, white-label settings, cover photos, all preserved.

Refund policy

The policy here matches how most photography-gallery platforms (Pic-Time, Pixieset, ShootProof) handle it. Short version: subscriptions are non-refundable, cancel anytime to stop future billing.

  • Pro and Starter (monthly or annual): subscription payments are non-refundable. Cancel anytime from /billing and access continues through the end of your current billing period, then your account reverts to Free. No partial refunds for unused time in the current period.
  • Founding Member ($249 lifetime): refundable within 48 hours of purchase. After 48 hours, Founding payments are non-refundable in exchange for lifetime Pro access.
  • Legacy Couple credits ($9 per event, retired tier): non-refundable, but remain redeemable indefinitely until used.

Discretionary refunds: we may issue a refund outside the rules above for technical failures on our side, billing errors, or genuine extenuating circumstances. These are handled case by case.

How to request a refund or report a billing issue:

  1. Email hello@captureclub.app with subject "Refund request"
  2. Include: which plan, when you subscribed, what's going on
  3. Typical response: 1-2 business days
  4. If approved, refund hits your card in 3-5 business days (Square's standard window)

Subscription billing dates

Monthly subscriptions: charge on the same calendar day every month. If you subscribed January 15, next charge is February 15. If the day doesn't exist (subscribed January 31, February has no 31st), Square bills on the last day of the month.

Annual subscriptions: 365 days from subscription date. $490/year = $40.83/month equivalent.

Failed charges: Square retries your card 3 times over 7 days. On the 3rd failure, we mark your subscription past_due, email you, and give you a 7-day grace period to update your card via /billing. After 7 days past-due, the subscription cancels and your account steps down to Free. You don't lose data, galleries stay accessible per the retention rules above.

Downgrading (not canceling)

If you want Starter instead of Pro, or monthly instead of annual:

Monthly โ†’ Annual (upgrade cadence): go to /pricing, pick the annual option. Your current plan cancels, annual starts immediately. Pro-rated credit for your unused monthly days (usually applied to the annual invoice).

Annual โ†’ Monthly (downgrade cadence): cancel the annual plan via /billing, then subscribe monthly when the annual period ends. We don't pro-rate cash back on annual.

Pro โ†’ Starter: cancel Pro, then subscribe to Starter after current Pro period ends. You'll lose Pro features (live streaming, white-label, custom URL, bulk tools) when Pro ends and Starter starts. Existing data stays intact.

Starter โ†’ Free: just cancel.

Edge cases

What if I have an active live stream when I cancel?

Live stream keeps running for the current event. After the billing period ends and Pro features turn off, you lose the ability to START new live streams. Existing VOD recordings stay in your gallery forever.

What if I have uploads in Review mode when I cancel?

Review mode stays on (it's a Starter feature, not Pro). Pending uploads stay pending until you approve or reject them.

What if I'm mid-way through a Delivery mode gallery build?

Delivery mode works on Starter too, so canceling Pro (not Starter) doesn't affect Delivery mode. If you're canceling Starter entirely (going to Free), the gallery switches back to Live mode at period end.

What if I bought the Founding tier but want my money back after 48 hours?

Founding Member payments are non-refundable after the 48-hour window. We state this explicitly at checkout. If you reach out with a specific hardship case (medical, family, whatever), we'll evaluate under the extenuating-circumstances clause, but it is not a guaranteed path.

How to close your account entirely

Canceling a subscription doesn't close your account. Your login still works, your data's still there, just on Free tier.

To close your account entirely (delete everything):

  1. Email hello@captureclub.app with subject "Account deletion request"
  2. We'll delete your Clerk account, your events, your uploads, your support tickets
  3. Per GDPR/CCPA this happens within 30 days of request
  4. Confirmation email when complete

Irreversible. Make sure you've downloaded anything you want to keep first.
